Meet & Greet is pre-arranged airport assistance that gives a traveller a clear route through the terminal: from the entrance or aircraft exit to check-in, a gate, a car, or a person meeting them. It does not replace mandatory screening or decisions by border and airline staff; it makes an unfamiliar airport easier to navigate.
Agree the itinerary before travel
Start by defining the service: departure, arrival, or connection. For departure, share the airline, flight number, terminal, intended airport arrival time, baggage, and party size. For arrival, provide flight and nationality details and baggage information. For a connection, add the onward flight and connection context. If a car is needed, state passenger count, luggage, child-seat needs, and address; see transfer coordination for the information that matters.
Departure: from entrance to gate
At the agreed meeting point, the greeter identifies the traveller in the pre-arranged way, confirms the current terminal route, and accompanies them to check-in or bag drop. Screening, passport control where applicable, and the walk to the gate follow. Priority lanes may be an option only where available and suitable for the airport and ticket. Families should review practical considerations in the guide to airport Fast Track with children.
Arrival: after leaving the aircraft
The meeting point depends on airport access rules: near the airbridge, before passport control, or in the public arrivals hall after baggage reclaim. Assistance can help locate the appropriate route, carousel, and exit. The traveller remains responsible for answers to immigration officers and for their documents and belongings. After customs, the coordinator leads them to a driver, host, or next step. Read how arrival, departure, and transit services differ before choosing a format.
Connections: assistance is not boarding approval
For a transit, the greeter checks the terminal, likely formalities, and direction to the next gate. Tell the coordinator whether bags are checked through, whether they must be collected and rechecked, and whether anyone has reduced mobility. Airlines and authorities retain responsibility for boarding decisions, documentation requirements, and schedule changes.
When plans change
Provide a phone number usable after landing and a backup contact. Report a delay, terminal change, missing baggage, or cancellation as soon as actual details are known. Do not build a plan around outcomes controlled by an airport or airline; instead, discuss a backup route, waiting arrangements, and communication with the driver. Service formats are outlined in airport assistance options.
A short preparation checklist
- Confirm the spelling of the name and the flight number.
- Keep documents, boarding pass, and medication with you.
- Declare children, a stroller, an animal, oversized luggage, or assistance needs.
- Avoid arranging tight commitments around formal procedures.
- Save the coordinator’s and driver’s contacts.
