An accessible trip is planned as one connected journey, not as an accessible room alone. Check the route from kerb to vehicle, boarding, entrances, bedroom, bathroom and daily itinerary. Belka Travel Concierge coordinates requests, while current suitability should always be confirmed directly with each provider.
Define mobility needs in practical terms
“Accessible” is not enough information. Explain whether the guest walks independently, uses a cane, manual or powered wheelchair, can transfer, and travels with a companion. Share wheelchair dimensions, weight, battery type and any storage needs without disclosing unnecessary medical detail. This makes it possible to assess a suitable car with driver and boarding arrangement.
Check every transport handover
Ask about door opening width, step height, space for the chair, secure storage and the transfer process—not simply whether a vehicle is “large.” For flights, request airport assistance through the airline, clarify the path from check-in to aircraft and ask about mobility-device handling. Airport assistance coordination can support the experience but does not replace airline procedures. Keep a contingency contact and extra time for disruption.
Verify the room and the approach to it
Ask specifically about steps between vehicle and entrance, lift access, door widths, bed height, roll-in shower threshold, grab rails and turning space beside the bed and in the bathroom. Request current photos or a plan of the allocated room; a generic accessible-room image may not represent it. Check the route to breakfast, restaurants and pick-up points as well.
Build a route around energy and surfaces
A short map distance can mean cobbles, gradients, queues, works or no nearby accessible toilet. When arranging private touring, confirm accessible entrances, distances between stops, rest opportunities, weather cover and a shorter version of the plan. One priority visit per day is often more reliable than an overfull schedule.
Send a concise planning brief
- Travel dates, cities, party size and companion contact;
- Mobility-device measurements and required assistance level;
- Non-negotiable room and vehicle features;
- Preferred pace, interests and route constraints;
- A fallback contact and acceptable alternatives.
Reconfirm before departure
Repeat the critical confirmations shortly before travel: vehicle, room, airport request, meeting contacts and entrance addresses. Save essentials offline, charge devices and bring appropriate basic repair items. For a service mindset that protects privacy, see our guide to discreet travel management and further Belka articles.
Start with your non-negotiables and send them through the contact page. Belka Travel Concierge can coordinate the questions and confirmations that matter most.
