A safe ticket handover is more than forwarding a file. Confirm what grants entry, whose name is attached to it, when it will be issued, and how the venue accepts it. Belka Travel Concierge coordinates these checks and helps create a clear handover process.
Identify the access format first
A ticket may be a mobile QR code in an organiser’s app, a named e-ticket, a printable voucher, or a physical pass. The format matters: a screenshot may not scan, while a PDF may only confirm an order. Share the event and seating request when arranging event tickets.
Match the essential details
- event name, date, city and venue;
- section, row, seat, or admission zone;
- guest name and any name-change process;
- order reference, issue status, and entry instructions.
A name on a ticket does not automatically mean ID will be checked, but it should never be assumed otherwise. Establish whether transfer is allowed, whether the original buyer’s account is needed, and what identification may be requested.
Check provenance and release timing
Ask for more than a QR image: retain the order confirmation, issuing channel, expected release date, and organiser instructions. Prepare a mobile ticket properly
Confirm the app name, sign-in route, whether a transfer must be accepted, and when the ticket should appear. The guest needs a charged phone, email and app access, connectivity for updates, and saved instructions. Avoid sharing personal email passwords; an official transfer function or the guest’s agreed account is safer.
Use a controlled handover
Prefer the official transfer route, then ask the guest to confirm receipt and visibility in the app. For a physical pass, agree the handover point, time window, contact person, and an alternative contact method. Plan for entry-day disruption
